How we handle your information.

Who is responsible

CasKo Digital Services is the trading name used by the Kettering-based partnership operating this website. The people operating the partnership decide how information collected through this website is used.

Information we collect

When you use the enquiry form, we collect the name, email address, service interest and message you provide. A business name and phone number are optional. If you contact us by email, we also receive the information included in that email and the resulting correspondence.

The enquiry service creates a short-lived, non-reversible technical identifier from your IP address to limit repeated spam submissions. The raw IP address is not stored in the enquiry record. The form also records its submission time and delivery status so we can operate and troubleshoot the service.

Why we use it and our lawful basis

  • To receive, assess and reply to your enquiry. We rely on our legitimate interests in handling genuine business enquiries. Where you ask us to take steps towards an agreement for services, processing may also be necessary to take those steps at your request before entering a contract.
  • To keep a useful record of the conversation. We rely on our legitimate interests in managing enquiries, avoiding duplicated work and understanding what was agreed. If a contract follows, some records may also be necessary to perform that contract or meet applicable record-keeping obligations.
  • To protect the website and form from misuse. We rely on our legitimate interests in keeping the enquiry service reliable and secure through validation, a honeypot, timing checks and proportionate rate limiting.

We do not rely on consent to process a normal enquiry, and the website enquiry form does not subscribe you to marketing. Required fields are marked on the form; without them, we cannot receive a usable enquiry through the website.

Who receives or processes it

We use service providers only where they are needed to operate the website and communication flow:

  • OpenAI Sites and Cloudflare infrastructure provide the website runtime, security and database used to store enquiry records.
  • Resend processes the enquiry content and contact details to deliver the notification to CasKo and the acknowledgement email to you.
  • Our email-hosting provider stores the message in the CasKo business mailbox so we can review and respond.
  • Google Maps supplies the embedded Kettering map on the homepage. When the map loads, Google may receive technical information such as your IP address, device and browser information under its own privacy terms.

We do not sell enquiry information. We may disclose information if required by law, or when reasonably necessary to establish, exercise or defend a legal claim.

International processing

Some website, infrastructure and email providers operate internationally, so information may be processed outside the United Kingdom. Their published terms provide for recognised transfer mechanisms where required, including UK adequacy arrangements or contractual safeguards such as the UK Addendum to the EU Standard Contractual Clauses. Google states that information may be processed on servers around the world under the transfer frameworks described in its privacy policy. You can ask us for more information about the safeguards relevant to your enquiry.

How long we keep it

We do not use a single automatic deletion date for every enquiry. We review records and keep them only while they are reasonably needed to respond, follow up, manage any resulting working relationship, resolve a dispute or maintain records we are required to keep. Enquiries that do not lead to further work should be removed when they no longer serve one of those purposes. Email providers may retain limited delivery and security records under their own documented retention periods.

Your data-protection rights

Depending on the circumstances and the lawful basis in use, you may ask us to:

  • provide a copy of your personal information;
  • correct information that is inaccurate or complete information that is incomplete;
  • erase information in certain circumstances;
  • restrict how information is used in certain circumstances;
  • provide eligible information in a portable format where the right to portability applies; or
  • consider an objection to processing based on our legitimate interests.

Your right to object: you can object to processing based on legitimate interests. We will consider your reasons and stop unless there are compelling legitimate grounds to continue or the information is needed for legal claims.

These rights are not absolute and an exemption may apply. To make a request, email info@caskodigitalservices.com. We may need enough information to verify your identity before acting on a request.

Automated decisions

We do not use enquiry information to make decisions based solely on automated processing that have legal or similarly significant effects. Automated spam checks may stop suspicious submissions from being stored, but they do not assess whether CasKo will work with you.

Questions and complaints

Please contact us first if you have a question or concern so we can try to resolve it. You also have the right to complain to the Information Commissioner's Office, the UK data-protection regulator. See the ICO data-protection complaints guidance or call the ICO on 0303 123 1113.

Changes to this notice

We may update this notice when the website, our processing or the services used to operate it change. The revision date above shows when it was last updated.
